Live Answering Service vs AI Receptionist in Ottawa

Live people or AI? Here's how an Ottawa small business should choose, using real 2026 prices, real coverage, and one question: who actually books the job?

CALL LOGAFTER HOURSMISSED

Search "answering service Ottawa" and you get two kinds of results. Call centres with live people, and AI receptionists that pick up in a second. Both promise you'll never miss a call again.

They're not the same thing. A live service mostly takes messages, while a good AI receptionist can book the job. The prices are miles apart too.

I went through local and national providers' public pages in September 2026. Here's what each one costs, what each one covers, and who actually finishes the call.

Fair warning: we build AI receptionists. So I'll also show you where a human still wins.

Quick answer

A live answering service wins for calls that need judgment, empathy or a trained bilingual person. An AI receptionist wins on price, after-hours coverage and booking straight into your calendar. For most Ottawa small businesses, AI first with a human backup is the best setup.

Answering Service Ottawa: What's Out There

Ottawa has local players. On Call Centre is based here, says it has almost 50 years in the business, and assigns only bilingual reps to Ottawa accounts. Its Ottawa page shows no prices, so you'll need a quote.

i24 offers bilingual 24/7 answering in Ottawa and bills by the minute, with the rate dropping as you use more. Telelink, a Canadian service that serves Ottawa, lists $275 a month and says nearly every call is answered in 30 seconds or less.

Then there are the US brands. Ruby starts at $250 a month for 50 minutes, and Smith.ai at $300 a month for 30 calls. Hey Jodie's August 2026 comparison found most human services with public rates bill Canadians in US dollars.

My rule: if a service won't publish a price, assume the meter matters more than the sticker.

Cost: Paying for Minutes vs Paying for Coverage

Human services sell time. Ruby's entry plan works out to $5.00 a minute, and its 200-minute plan to $3.60. Smith.ai's entry plan is $10 a call, and each extra call is $11.50.

AI is priced like software. Polaris Voice, a Canadian option, lists C$99 a month for 150 minutes, about 66 cents a minute. Smith.ai's own AI receptionist runs about $2.00 a call on its $150 plan, a fifth of its human rate.

$5.00Per minute on Ruby's 50-minute live plan
$10Per call on Smith.ai's human starter plan
$2.00Per call on Smith.ai's $150 AI plan
C$0.66Per minute on Polaris Voice's C$99 plan

On these published rates, a human answer costs several times more per minute or per call. For the full price sheet, see what an AI receptionist costs in Canada.

Coverage and Booking: Who Finishes the Call?

On coverage, it's closer than you'd think. Ruby, Smith.ai and Telelink all advertise 24/7 live answering. The catch is the bundle: 50 minutes goes fast in a busy month.

AI handles a rush better. RingCentral says its AI receptionist can take multiple calls at the same time, so a Monday morning doesn't turn into a hold queue.

Booking is where they really split. Smith.ai charges its human-plan clients $1.50 a call to book appointments. Polaris lists calendar integration on its C$199 plan.

A message is not a booking. If your service texts you "call Sarah back about her furnace," you still have to win the job. And the longer you wait to call back, the colder that lead gets, as we covered in speed to lead.

The French test

This is Ottawa, so test French. On Call Centre assigns bilingual reps by default. Ruby's pricing page lists Spanish and bilingual call handling, so ask about French by name.

AI receptionists answer much faster than they used to, as we covered in AI receptionist latency. Still, call any AI receptionist in French yourself before you sign.

When Each One Wins

A live answering service wins when:

  • Callers are upset, grieving or scared and need a person.
  • Intake is complex or regulated, like legal or medical calls.
  • You want a trained bilingual human on every single call.

An AI receptionist wins when:

  • Most calls are bookable: quotes, appointments and "are you open?"
  • You lose calls after hours, on weekends or during a rush.
  • You want the job in your calendar, not a message in your inbox.

For most Ottawa trades and clinics, the answer is both. Smith.ai's AI can hand a call to a live agent, and Telelink sells AI voice agents next to its live service. Let AI take the first ring and the late-night calls, and send the hard ones to a person.

Answering Service vs AI: FAQ

How much does an answering service cost in Ottawa?

Published plans start around $250 to $300 a month. Ruby lists $250 for 50 minutes, Telelink $275 a month, and Smith.ai $300 for 30 calls. Local services like On Call Centre and i24 quote on request.

Is there a bilingual answering service in Ottawa?

Yes. On Call Centre, based in Ottawa, assigns only bilingual reps to Ottawa accounts, and i24 offers bilingual service too. With any provider, human or AI, test a French call before you sign.

Can an AI receptionist book appointments?

Many can. Polaris Voice lists calendar integration on its C$199 plan, while Smith.ai charges human-plan clients $1.50 a call for booking. Test a real booking on a trial before you commit.

Is an AI receptionist better than an answering service?

For bookable calls, after-hours calls and rush periods, usually yes, and it costs less. For emotional, complex or regulated calls, a trained person is still better. Many owners run both.

Can I use an answering service and an AI receptionist together?

Yes. Let AI answer first and after hours, then route hard calls to a person. Smith.ai's AI can transfer calls to its live agents, and Telelink sells both live answering and AI voice agents.
