The brief we set

  • One place where a matter's true status lives
  • Clients should stop emailing to ask where things stand
  • Intake should screen for conflicts before work starts
  • Nothing that adds a second system to keep in sync

What we scoped

  • Kanban matter pipeline from intake through to close
  • Per-matter status tracker visible to firm and client
  • Two-way tasks, either side can raise, assign and clear
  • Intake automation with a conflict check at submission

The system

  • Email and SMS notifications on every stage change
  • Document requests attached to the task that needs them
  • Role-based access: firm view and client view of one record
  • Regulated-industry intake fields built into the form logic

Why it matters

  • Status questions are the most expensive email a firm answers
  • Regulated work lives or dies on the intake record
  • A shared pipeline removes the internal status meeting
  • Clients judge a firm on responsiveness they can see
